Hard truths from helping 50+ cleaning businesses

I run ad campaigns for over 50 cleaning companies around the world. Some are scaling rapidly. Others struggle to book clients—even when leads are flowing in.

So what separates the ones that grow from the ones that stall?

It’s not just the ad strategy (although that matters). It’s what happens after the lead comes in.

Here are the 5 key traits I see in the cleaning companies that succeed:

Watch the video or read on below >>

1. They don’t miss calls. Ever.

Missed calls = missed revenue. The most successful companies answer every inbound call. Why? Because a live conversation builds trust fast and often results in a same-day booking.

If you’re spending money on leads, answering the phone should be a top priority.

2. They respond to leads instantly.

When someone fills out a quote form, the clock starts ticking. Responding within 5 minutes can make the difference between winning the job—or losing it to a faster competitor.

Top performers don’t leave quote requests sitting in their inbox. They jump on them immediately.

3. They follow up on multiple channels.

If a call doesn’t go through, the best owners don’t stop there. They’ll also send a:

  • Voicemail

  • Text message

  • Email

People prefer different methods of communication. Multi-channel follow-up increases your chances of getting a reply—and booking the job.

4. They follow up daily for a week.

One or two messages isn’t enough. People are busy. They forget.

The best cleaning business owners follow up every day for 7 days using different messages:

  • Day 1: “When’s a good time to talk?”

  • Day 2: A link to reviews

  • Day 3: FAQs

  • Day 4: A special offer

And so on.

If they still don’t book, those leads get added to a monthly email newsletter to stay top of mind. You’ll be amazed how many clients circle back months later.

5. They aim to book clients on the phone.

Don’t let leads hang up with “I’ll get back to you.”

If they’re on the phone, interested, and the schedule/pricing works—close them there and then. The longer the delay, the lower the chance they’ll book.

Bonus Tip: Use a CRM

All of this becomes easier when you’re using a proper CRM (Customer Relationship Management system). It helps you:

  • Track all incoming leads

  • Automate follow-ups

  • Stay organized so no lead slips through the cracks
